Event Committees and Chairpersons are essential to our Home & School community. Below are brief descriptions of the opportunities that we ask for volunteers to help run events.
The Chair Packet is a guide for all chairpersons and committees to reference for help with planning events including available resources and logistics.

  • Assemblies:  In coordination with the school, the assembly chairperson will select, schedule, and organize assemblies throughout the year within the H&S assembly budget. Assemblies can be held in person & virtually. Assemblies will need to be approved prior to scheduling.
  • Book Fair: The chairperson will schedule the book fair for the Spring (typically March) with Scholastic. Duties will include obtaining a schedule for classes to come to the fair from Ms. Kenney, soliciting volunteers to assist at the book fair and arranging an evening event for families to shop at the book fair. 
  • Book Bug: The chairperson will type up stories written by students to create a bound class book. 
  • Color Run: The Color Fun Run is held at the school in the Spring. A committee is needed to run this event. In past years, the committee arranged for raffle baskets to be donated from local businesses and each class. The committee is responsible for ordering color supplies, coordinating food, ordering t-shirts & recruiting lots of volunteers to help the event run smoothly.
  • Dine Outs: The chair will schedule fundraiser dine outs with local restaurants. 
  • Earth Day: The committee will coordinate Earth Day projects with the assistance of NWES staff for students to participate in on Earth Day (ie. weeding, planting flowers, leaf removal). Committee will also solicit volunteers and donations to complete projects.  
  • Family Game Night: The chair will plan family BINGO nights to be held in January. There are typically 2 sessions held over 2 nights to accommodate all students and families that would like to attend. The chair will use funds from ticket sales to obtain prizes, organize a refreshment concession stand and solicit volunteers (MC/BINGO caller, concession stand, check in table).
  • Girls on the Run: The chairperson will facilitate the GOTR club which will be open to girls in 3rd-6th grade. The students will practice weekly and finish out the season with a 5k race. The chair will solicit volunteers to assist with the program. 
  • Halloween Trunk or Treat: Trunk or treat is an outdoor trick or treating event at the school. The chairperson will solicit donations of treats and volunteers to decorate their trunks. In the past there have also been carnival games, music, a trunk decorating contest, face painting, pumpkin painting. The committee can decide which elements should be included in the event. 
  • Holiday Shop: The chairperson will order products from the vendor to be sold at the Holiday Shop, will obtain a schedule of when classes can visit from Ms. Kenney and will solicit volunteers to assist at the holiday shop.
  • Homeroom Parent Coordinator: The coordinator will ensure each HR is assigned a HR parent and will work with the building secretary to ensure all HR parents have proper clearances. 
  • Mommy Market: The market will be held at school in late fall. Members of the community can “rent” a booth in the gym or cafeteria to sell gently used items. These vendors will pay a fee for the booth and keep proceeds from all sales made. Customers entering the market will also pay a nominal entry fee. The committee will advertise, obtain vendors and oversee the market on the day of the sale.
  • Pictures Coordinator: Leading up to 6th grade, we'd like to have an opportunity to collect pictures for each grade year that can later be used to build the 6th grade yearbook. These coordinators per grade level will help organize pictures in a google drive, grant access to other parents to upload pictures, remind parents for pictures after events, and help to organize pictures into folders. This doesn't necessarily mean you'd have to create the yearbook in 6th grade, but it will help make the job easier for whomever does!
  • Plant Sale: The plant sale is held at the school the week prior to Mother’s Day in the interior courtyard. Pre-Orders are accepted electronically prior to the sale. The chairperson/committee will order the plants from the nursery (Didden has been used in the past) and schedule delivery to school. The chairperson will also obtain a schedule for students to shop the sale from Ms. Kenney, advertise the sale to the community and solicit volunteers to assist students during sales. An evening family shopping event is also typically scheduled. 
  • Playground Committee: NEW in 2023 - A number of parents and school staff have expressed an interest in updating our school playground equipment. This committee will collaborate with the school staff and the H&S board on a plan and execution for updating our playground equipment. This will likely be a multi-year project, individual members are welcome but not required to commit to multiple years.
  • RIF: A 1st grade parent committee will support the teachers and reading specialists with planning RIF activities.  
  • School Store: The chairperson will order products from the vendor to be sold and determine a schedule for holding the sales. The store is open as students arrive at school. Sales are held several times throughout the year. Each sale is over the course of 3-4 days to allow different shopping days for the different grade levels. 
  • Service Projects: The chairperson/committee will work with Mrs. Schaffer to arrange service projects for the students to complete throughout the year. 
  • Spirit Wear: The chairperson will work with a new spirit wear vendor to obtain inventory to be sold via online store. Store will be open throughout the year and the chairperson will determine an order fulfillment procedure from obtained stock. Spirit wear could also be sold during in person events at chairpersons discretion.   
  • Sports Night: Scheduled for 2/24/23 at Pennbrook Middle School. The chairperson will head the sports night committee. The event will be a parent/guardian vs. student event and will be open to the entire school to attend. The committee will plan games, secure volunteers and arrange for refreshments. 
  • Whale Fund Committee - NEW in 2023 - The Whale Fund is intended to be available for in-school sales events (such as School Store, Holiday Shop, Book Fair, Plant Sale, etc) enabling all students to participate. The committee will review the funds available and coordinate with event chairs and committees to provide guidance for how the fund should be used.
  • VIP Dance: Scheduled for 11/18/22. The dance is being held at Pennbrook to allow increased capacity for any students who want to attend with a parent or guardian. The committee will coordinate setup and decorations, schedule a DJ and Lifetouch for pictures. Volunteers will be needed to help with check in, refreshment table & bathroom monitoring.
  • Volunteer Coordinator: The volunteer coordinator will work with the building secretary to ensure volunteers have proper clearances and arrange for volunteers to assist teachers/staff as needed.
